Guidance for Wings and Squadrons on donation links, fund distribution, donor designations, reporting, and online giving.

What is the Website Donation Module?

The Website Donation Module is an integrated feature within CAP's SiteViz platform that streamlines and enhances fundraising efforts. It provides a centralized, secure donation experience that promotes giving, builds donor trust, and simplifies how funds are received and distributed.

What changed with the donation button process?

Previously, each wing and squadron had its own donation button. While this supported unit-level giving, all pages used the same standard layout, imagery, and messaging. Customizing more than 1,400 individual donation links was not scalable.

In addition, donors could not easily see how gifts were designated on the backend, which occasionally created confusion and reduced confidence that donations were reaching the intended squadron.

New Process:

  • Each wing now has one dedicated donation page.
  • Donors can designate a specific squadron by entering the squadron name and/or charter number in the comment box.
  • Wing administrators use this information to ensure funds are routed correctly.

This streamlined approach improves accuracy, reduces maintenance, and provides a more consistent donor experience.

Where do donations go now?

  • Paid directly to the wing headquarters account, not routed through NHQ
  • Managed and distributed by wing administrators
  • Routed to squadrons based on donor comments and designations

This process allows for faster distribution and more direct support to local units.

How does my unit add a donation button to our website?

To provide a consistent donor experience and ensure donations are routed correctly, donation links are managed at the wing level rather than on individual squadron websites or landing pages.

Wings Consolidated to a Single Wing Website

Units subordinate to wings that have consolidated to a single wing website are already supported through the wing's centralized donation link located at the top of the wing home page titled "Ways to Give."

Individual squadron landing pages within consolidated wing websites will not have separate donation buttons, as all donations are processed through the wing's centralized giving page.

Wings Not Consolidated to a Single Wing Website

Squadrons should direct donors to the wing's centralized donation page and ask donors to include the squadron name and charter number in the comments field when making a gift.

For questions or updates related to donation links, please contact your Wing PAO. Wing PAOs will coordinate with the MAC SiteViz team as needed.

Are there fees associated with donations?

Yes. Donations processed through the Website Donation Module include a 4% Fundraise Up platform fee and payment processing fees.

  • Fundraise Up platform fee: 4%
  • Stripe payment processing fee: typically 2.9% + $0.30 per transaction

Donors are given the option to cover transaction costs before completing their gift. Historically, approximately 86% of CAP donors choose to cover these costs.

These fees go directly to FundraiseUp for processing and platform services. NHQ does not collect or retain any portion of these fees.

When will our unit receive funds?

Reports are generally generated around the 15th of each month for the previous month's activity. Funds are then distributed by the wing.

Example: A donation made on July 1 would typically be available to the wing after August 15 and distributed to the squadron shortly thereafter.

Who has access to donation reports?

Access is limited to:

  • Wing Administrators
  • Wing Financial Analysts

This is because reporting is tied to the payment processing system (Stripe), which is not an open-access platform.

However, reports now provide more detailed donor information than previously available, helping units better steward donors (while still honoring anonymous gifts). Any questions regarding donations must be routed to the Wing for assistance. Please refer to the CAP and CAP-USAF Directory in eServices for Wing contact information.

How do donors know their gift will go to the right squadron?

Wing donation pages include a notice explaining that donations are directed to the wing headquarters account and that donors can designate a squadron by including the squadron name and/or charter number in the comment box.

Wing administrators use this information to ensure each gift is properly designated and distributed. Any questions regarding donations must be routed to the Wing for assistance. Please refer to the CAP and CAP-USAF Directory in eServices for Wing contact information.

“Donations made through this link will be directed to (State) Wing Headquarters. To support a specific squadron, please include the squadron name and/or charter number in the comment box.”

Will donors receive a receipt and be able to access their donation history?

Yes. If a donor provides their email address, they will automatically receive an acknowledgment email after completing their gift.

Donors can access the Donor Portal to:

  • Manage recurring gifts
  • View past donations
  • Update payment information
  • Download PDF receipts

Who should we contact with questions about donation distribution to squadrons?

Please contact your Wing Administrator with any questions, including those about when funds will be transferred from the wing account to the squadron. All wing/squadron donation‑related inquiries should be directed to the Wing. The NHQ Development team does not have the visibility needed to assist.
